How to use the Dashboard

As you may know, the dashboard is the forefront of your company's portal. It contains a plethora of information related to key aspects of the whole site, such as contact details of your employees, a team calendar which shows when public holidays are coming up as well as requested leave by your employees. It also contains micro panels which show you when the most recent activity was on the portal. It also tailors the amount of information you can see depending on which login you use. As well as all of these features, it also contains two menus. These menus contain the links to the bulk of the portal's functionality.


The Portal Header

This is the header segment of the portal, it contains the drop down menu which holds the links for the main pages of your portal. On the other side, you have the menu for the user which gives you the options to sign out of the portal and view your profile page. These buttons are hidden for some users.

Employees do not have access to the gear icon but can see the help centre icon and their personal notifications. Managers are the same but they can see all of their teams notifications as well as their own.

Next to that you have the settings icon, which gives you access to all other pages that are not visible in the main menu, such as, Users, Teams, Transaction Types and Account Settings. These are only visible to the bureau user, HR can change the company message from this icon.

Notifications is the following icon, which simply shows you all notifications that you are allowed to see. 

Finally we have the Help menu, this contains the all of the guides for using the portal effectively as well as the help centre, which is where you can search up anything you need from the support database. This menu also contains a page documenting changes to the portal, if you wish to see them.


The Main Menu

This is the small menu that is visible on the left side of your screen if you have pressed the small menu icon. This is where you will find all the pages related to the leave requests of your company.

Dashboard - This will bring you back to the dashboard from any of the other pages on the portal.

Leave Requests - This page will document all the leave requests that you have received by your employees, including any that are new, pending or declined.

Leave Balances - This page shows you the balances of all your employees leave, this includes annual leave, sick leave, alternate leave, etc.

Leave Calendar - This page shows you a detailed breakdown of all your employees applied for leave on a calendar, this also includes how long they've applied for leave for and shows you any public holidays that are coming up. It also contains a legend so you can see what the coloured leave means, and a subscription to the calendar.

Timesheets - This page will give you access to creating timesheets, it also shows you any currently created timesheets and all timesheets that have been made on the portal. It is accessible to all users on the left side of the screen, provided it has been activated by a bureau user.

Pay Advice - This page shows you all current and created pay advices, it also has detailed breakdowns of all information you would need to know. These are visible to all users on the portal except for external users. They are also manually imported in from the portal, there is no function for these on the portal.

Reports - This page shows you pending and aged leave requests waiting for approval by managers. It also shows you all your payroll schedules that have been set up, as well as their export groups and their progress, whether they've been sent or not.


The Team Calendar

This is the team calendar, it sits right in the middle of your portal home page and contains a multitude of information relating to holidays and leave for your team. 

The first thing to notice is the main grid, this shows the employee names followed by the dates for that week. If you are an employee you will only see your personal information on here, also, if you are a manager, you will see your personal and any information related to any team you are a part of. Lastly, if you are a bureau user or an HR admin, you will see everyones leave on here.

This segment, when it is applicable, will show any leave an employee has requested which will show the date they requested it and for how long. More information can be found in the Calendar help article.


Activity

This area will actually be a bit different for each user, if you are an employee, a manager or an HR Admin, this is the segment you will see.

However if you are a bureau user for the portal, this is what you will see., it has a couple more options that are visible over the other users on the portal.

This small segment here is a simple breakdown of many of the other pages on the portal, accessible through the either the settings icon if you are a bureau user or the side menu.

The first box shows you when you when the last ti me you logged in was.

The next two boxes show you when a user was last imported to the site then when the last pay advice import was run. The next box will show you when the last export was. The export option is only visible if you are a bureau user otherwise it will not be visible. 

Next, these two boxes show you when anyones leave balances were last updated and when the most recent leave request was submitted.

If you are a bureau user, you will have an additional two boxes in here, one will be for seeing when the last timesheet was submitted and the other for when the last pay advice was updated.


Contact Details

The last segment of the Dashboard, the Contact details section quite simply shows you all relevant contact information for all your employees, in one confined space. This will show you information relevant to who's viewing it, employees will only see themselves, managers will see themselves and their team and HR or bureau users will see everyone.

In the top left corner of this segment is a series of five buttons, these allow you to either print this page to a local printer, copy it to your clipboard to be able to paste elsewhere, and the ability to export this page to either a CSV, Excel or PDF document, this allows for easier distribution of these details if you should need it.

The top right corner contains a search bar, if you are looking for a specific person or any other information in particular.

Next you have the main base of information, this contains all the information you would need to contact any of your employees. It shows their whole name, address, suburb, phone numbers and emergency contact details.

Down the bottom of this page is the ability to select how many people you want per page of contacts, you can choose between 10,25,50 or 100 employees per page. This alohas the ability to cycle through pages, if you have more than one.
